Transputec Bot Studio
Privacy notice
Transputec Bot Studio lets organisations put a website assistant on their own sites. This notice explains what happens to personal information when you chat with an assistant, ask to be contacted, or use the Studio to build one. Transputec Limited (company number 03443568, Transputec House, 19 Heather Park Drive, Wembley, London HA0 1SS, ICO registration ZA059228) runs the service. Contact our Data Protection Officer at dpo@transputec.com.
Who is responsible
When you chat with an assistant on a company’s website, that company decides why your information is used and is the controller. Transputec acts as its processor and provides the technology. For the assistant on Transputec’s own website, and for Studio accounts, Transputec is the controller.
What we collect and why
| Information | Why | Kept for |
|---|---|---|
| The questions you type or say, and the answers you are shown (without your name, email or IP address) | To answer you, and to show the owner what visitors ask so the assistant can be improved | 180 days |
| Name, email, phone number, country, what you are looking for and what you asked about, only if you choose to give them in a form | So the organisation can get back to you | 24 months, or until you ask us to delete it |
| Thumbs up or down on an answer | To measure how helpful answers are | 180 days |
| Studio account details (email, name, a hashed password) and the assistant’s settings | To run your account | While the account exists |
If you use voice, your browser’s speech service turns your speech into text and reads answers aloud. That happens in your browser, subject to its own provider’s terms; we receive only the text.
Please do not enter payment card numbers, passwords or other sensitive details in a chat. The assistant will decline them.
Cookies and similar storage
The assistant keeps your conversation in your browser’s session storage so it survives a page change, and, on your device only, remembers the country and interest you chose (local storage) and whether you dismissed its invitation. It uses no advertising or tracking cookies. You can clear this at any time in your browser settings.
Who we share it with
Your questions are sent to an AI service to write an answer. The service in use is configured by the organisation and is Microsoft Azure OpenAI for Transputec’s own assistant. We use Vercel to host the service and a database or object store (Vercel Blob or Supabase) to keep records, in secure data centres. We do not sell your information, and we do not use it to train AI models.
Where it goes
Some of these providers process data outside the UK. Where they do, we rely on the UK International Data Transfer Agreement or the UK Extension to the EU–US Data Privacy Framework, or equivalent safeguards.
Your rights
You can ask to see, correct, delete, restrict or move your information, and to object to its use. To be forgotten, email dpo@transputec.com with the email address or phone number you gave. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Security
Traffic is encrypted, access to the Studio needs a private access token or a signed-in account, questions that try to extract private information or change how the assistant works are refused, and records are deleted automatically when their retention period ends.
Changes
We will update this page when anything changes and show the date above.
